Privacy policy

TextileBook is an invite-only network where textile business owners keep records of their workers and check a worker's past job history before hiring. This policy explains what we collect, why, who can see it, and the rights of members and workers under the Digital Personal Data Protection Act, 2023.

  1. 1. What we collect about members

    Name, mobile number, preferred language, firm name, business type, city, state, address and GST number.

    Who referred you, who approved you, and a log of important actions such as logins, approvals, worker records and every worker lookup.

    A member may create supervisor accounts (name and mobile number) for staff who check, hire and add workers on the member's behalf.

  2. 2. What we collect about workers

    Name, date of birth, gender and address as printed on the ID card, the ID number, a photo of the ID card and the face photo printed on it, and a photo of the worker's face taken by the member. From that photo a face template is made (numbers that describe the face), used only to find the same worker again. The worker's mobile number is confirmed with a one-time code sent to it at every new job.

    Job records entered by members: join and exit dates, work type, whether the worker left or was removed, the reason, whether the member would hire them again, and a note about the exit. The member also keeps the worker's mobile number.

  3. 3. Why we use it

    To keep each member's worker register, to let members check a worker's past jobs before hiring, to stop fake accounts and misuse, and to keep the service secure.

    We do not sell personal data and we do not use it for advertising.

  4. 4. Consent

    Before adding a worker, the member confirms that the worker agreed to their work history being kept and shared with other members. The way consent was given is recorded with each job.

  5. 5. Who can see what

    Other members can see a worker's name, face photo, date of birth and the last 4 characters of the ID number. For the worker's latest job at another firm they see the firm name, city and the owner's mobile number, the dates, whether the worker left or was removed, the reason, the hire-again answer and the exit note. For older jobs they see only the dates and the exit note.

    Never shown to other members: full ID numbers, ID card photos, the worker's mobile number (only its last 4 digits, to confirm the right person) and the worker's address. ID card photos are visible only to the member who uploaded them and to the TextileBook team.

    Jobs entered by a member who is blocked are hidden from other members.

  6. 6. How we protect data

    ID numbers, ID card photos and face templates are encrypted. Photos are shown only through short-lived private links. Every lookup, including a search by face photo, is logged with the name of the member who made it.

    A photo taken to check a worker (of an ID card or of a face) is kept only to add or hire that worker. Photos that are not used are deleted within 24 hours.

  7. 7. How long we keep data

    Worker job records are kept while TextileBook operates, because their purpose is a long-term work history. We keep data longer only when the law requires it.

  8. 8. Your rights

    Members and workers can ask to see their data, correct it, or have it erased, and can raise a grievance. Write to support@textilebook.in. We reply within 30 days.

    A worker can also ask the member who added them to correct a job record.

  9. 9. Cookies

    We use only the cookies needed to keep you logged in, protect forms, and remember your language. There are no advertising or tracking cookies.

  10. 10. Changes

    We will show the date of the latest change on this page and tell members about important changes in the app.
